Manage digital business cards centrally

HUMAN STRUCTURES

We use AI where it makes us better – here too. HUMAN STRUCTURES is an AI-generated image series, developed and curated by us. It shows what we stand for: structure, clarity, orientation. And how we work: with the tools of today and the standards we have always held.

A consistent identity for every employee. Current contact details maintained in one place. Wallet business cards simplify administration and reduce the work involved in ordering and reprinting cards.

In larger companies, business cards are a recurring administrative task. Details are collected, designs checked and cards distributed to different offices. A new phone number or role starts the process again.

A centrally managed system shifts the work towards maintaining the data. The design stays consistent, changes follow the agreed process and cards are available on employees' smartphones.

One shared company identity

Your logo, colours and choice of fields are agreed for the company. Employees therefore present a consistent identity. Wallet cards are designed to reflect your brand within Apple and Google's specifications.

Our overview of wallet business cards for companies explains how the card is used in conversation.

Add new employees

Before rollout, decide which details a card requires and who provides them. These may include a name, role, business contact information and an approved photo. A consistent process prevents repeated follow-up questions.

The card is then provided. If the data is already maintained in another system, MOREMEDIA can develop an appropriate integration on request. Automation of this kind is implemented according to your requirements.

Maintain changes in one place

When a phone number or role changes, the new details are recorded in the system. The digital outputs can be updated accordingly. This avoids a new print order for that change.

One distinction matters: an updated wallet card is not the same as a contact already saved in somebody else's address book. Updating your card later does not automatically overwrite that saved contact.

Handle departures consistently

When someone leaves the company, their card should no longer be used as a current company contact. The responsible team therefore needs to be informed of departures and deactivate the relevant card.

Organising this step is part of the rollout. Automatically triggering it from an HR system is a possible custom extension, rather than an assumed standard workflow.

Reduce printing where it makes sense

Digital business cards can reduce orders, reprints and deliveries to different locations. The benefit is particularly visible when employee details change frequently. Printed cards can still be used where handing over a physical card makes sense.

When assessing the business case, include approvals, internal coordination and distribution alongside printing costs. Our article on the purchase model and ongoing costs explains the corresponding digital expenses.

Put existing data to more uses

If employee data is already maintained elsewhere, there should be a good reason before introducing a second manual process. An appropriate integration can supply approved details to the cards. With Drupal integration, website contact profiles and vCards can also use the same data source.

Our article on CRM, website and employee data integrations explains how these processes are planned.

Frequently asked questions

Is the solution suitable for multiple locations?
Central data maintenance can be organised across locations. We agree responsibilities and required processes during rollout.
Can we use our corporate design?
Yes. Wallet cards are adapted to your company identity within Apple and Google's design possibilities.
Who updates employee data?
You decide who is responsible. An integration with an existing data source can also be developed.
Do contacts already saved by other people update automatically?
No. The current card and a fresh retrieval can provide updated details; a previously saved address book entry remains separate.
Can printed cards be eliminated completely?
That depends on your use cases. Depending on how cards are used, printing can be reduced without ruling it out for every occasion.
How much will we save?
That can only be calculated using your current costs and processes. Printing, delivery and internal effort belong in the comparison alongside software and operation.

How does your company organise business cards?

We review your current process with you and show what central management could look like. We then plan the data, design and rollout.
